Privacy policy
What Theorema collects, why, where it is stored, and how to exercise your rights.
Preliminary version. This text must be reviewed by a lawyer before registration opens, in particular with regard to Quebec’s Law 25 and Canada’s PIPEDA.
Who is responsible
The Theorema contest is organized by Oshara Inc, [address], Montreal (Quebec). The person responsible for the protection of personal information is [Name, role], reachable at [email protected].
What we collect
Students: first name, last name, grade, contest language, school, city and province. No email address, no date of birth, no photo. Contest answers and results are kept in order to produce scores, certificates and honour rolls.
Teachers and school contacts: name, professional email, role, school, delivery address for awards.
Parents: name, email, province or country, and the name of the registered child.
Payment: card payments are processed by Stripe. Theorema neither sees nor stores card numbers.

Why
To register students, give them access to practice and to the contest, mark the contests, produce results, certificates, honour rolls and awards, invoice registrations and answer support requests. We do not use this information for other purposes without your consent, and we never sell it.
Consent
For a student under 14, consent is given by the parent. When a school registers its students, it confirms that it has obtained this consent; a form is provided for that purpose. Publishing a student’s name on the honour rolls is a separate consent, which can be limited to a first name and an initial, refused, or withdrawn at any time.
Where, and for how long
Data is hosted in Canada [provider and region to be confirmed]. Student accounts and their results are kept until June 30 following the contest, then [deleted or anonymized, to be specified], except for published honour rolls. Billing data is kept for as long as tax law requires.
Who has access
The Oshara Inc team that operates the platform, the teacher in charge for their own students, and the parent for their own child. Our providers (hosting, payment, email delivery) have access only to deliver their service, under a confidentiality commitment.
Your rights
You can request access to your information or your child’s, its correction, its deletion, or the withdrawal of a consent, by writing to [email protected]. We reply within 30 days. You can also contact the Commission d’accès à l’information du Québec.
Privacy incident
If an incident presents a risk of serious harm, we notify the people concerned and the Commission d’accès à l’information, as required by law.
